Best Business Email Solutions

With the large number of email solutions on the market today it’s hard to decipher which is the best option for your business.

In New Zealand we have easy access to Microsoft Office 365 for email, Google Apps Gmail, traditional Microsoft Exchange Servers and a whole range of other free to use or paid email systems.

If you own a website no doubt your web hosting company is also offering you email addresses hosted with them. Normally these are free accounts and it really is a case of you get what you pay for with email solutions. Our advice would be to stay away from any free service.

As a business owner myself¬† the most important aspect of any email solution is that it works and it’s easily accessible. Second to this is reliable backups and the ability to easily restore mail.

Only a month ago I was setting up a new email account for a disgruntled Spark customer when Spark decided to delete all of her email. They had no backup solution in place to restore her email after the accidental deletion. So don’t be fooled by the flashy lights, even the big players can have flaws in their system.

So to get to the point, what email solutions are recommended?

In my honest opinion it’s Microsoft’s Office 365 offering. Everything you want out of a cloud based email solution Microsoft delivers it by the bucket full. In this respect all ‘cloud based’ means is that you don’t have to fork out a fortune for expensive 0n-premise hardware. The whole email solution is hosted elsewhere, and it’s a great alternative to having to purchase and run your own on-site email server.

It’s a bit out of scope for this blog post as we’re only talking about email here, but Office 365 encompasses so much more like SharePoint Online, Skype for Business, CRM Dynamics Online, the Microsoft Office Suite and so much more.

Getting back on topic, Office 365 email just works. It’s super reliable, backup and restore is simple, it gives full online/offline calendar syncing, shared calendar ability, shared mailboxes and everything else you’d expect in a professional business grade service. At last count one mailbox costs just $4.90 per mailbox per month.

You can’t even get mail spam filtering for an on-site email server for that amount. So for $4.90 you get a 50GB mailbox, the tonne of functions we mentioned above and all of your email is filtered. It’s win win.

I’ve seen web companies offering sub-par IMAP or pop mailboxes for twice that amount that don’t do one tenth of the functions you get with an Office 365 email solution.

You’d probably think Microsoft pay me with endorsements like that, but they don’t! I’ve installed, configured & managed dozens of different email solutions in my time and we’ve been recommending Office 365 for the last four years.
